Step 5: Input all the details of the things you need to do as per your goals in 4 above, into your time-management systems using the following as guidelines:
- Develop Time blocks of 2 to 3 hours each so that you can continuously stay on a task long enough to accomplish much. You can depend on the famous quarters: 6am-9am, 9am-12pm, 12pm-3pm, 3pm-6pm, 6pm-9pm, 9pm-12am, 12am-3am, and 3am-6am.
- An average person needs 7 – 8 hours of sleep in a day to function efficiently; technically you spend (or should spend) one-third of your life sleeping. Shorter duration adversely affects longevity, and longer duration adversely affects material prosperity.
- If you happen to be a student, an ‘intrapreneur,’ an entrepreneur, or an executive, then sometimes 4 to 6 hours may be all you will have; bear with it.
- It takes about 30 minutes to warm up into a task and 1 to 3 hours to get effective work done.
- Batch tasks of a similar nature. For instance, make all calls at the same time, respond to all emails at once, and so on. Give persons who need to reach you a time range during which they can call. When you call someone and you don’t get to speak to the person, leave a message indicating the purpose of your call and what time the person should return your call; you can send a text (SMS, WhatsApp, Etc) to that effect.
- Use transition time for non-critical (important but not urgent) tasks. For instance, when waiting, driving, on the bus, train or aeroplane, or any other similar situations; you can be reading, listening to a tape, or have someone with you to read to your hearing. On the average, you sit in a vehicle 500 to 1000 hours per year, which is equivalent to 3 to 6 months of normal working time, and equivalent to 1 to 2 full semesters at the university. Utilise such enormous amount of spare time. Be selective in the radio talks you listen to, and allow some time for personal development audios.
