Step 1: Take your ‘Must-Do’ category list and rearrange the items on the list in the order of value; value here means how much positive contribution it will make to your life or what you’ll gain against what you’ll lose, based on your core values.

Be guided by the 80/20 Rule (Pareto Principle) that 80% of your results come from 20% of your efforts. You should use the Eisenhower Matrix to categorise the ‘must-do’ activities into:

  1. Urgent & Important (Utmost Priority Tasks).
  2. Important but Not Urgent
  3. Urgent but Not Important
  4. Not Urgent & Not Important

Step 2: Set goals. Against each item on your Priority ‘To-do’ list, indicate the following:

  1. Their respective deadlines – the date and time by which each item on the list should be accomplished respectively.
  2. List (in high-level details) all the things you need to do, including finding the needed resources to accomplish a particular task.
  3. The duration (amount of time) in hours for each milestone in b above.

In practice, if you work at your normal pace, it takes about 2 to 3 times the amount of time initially estimated for a task to actually accomplish the task. You may thus have to allot adequate time in 3above to accomplish your goals, especially if you desire results of excellent quality.
